NPoS has the facility for you to be able to store all your supplier details in one central location, giving you the facility to be able to store multiple contact details for each supplier, and setting up delivery lead times, minimum order values and of course varying levels of discount structures available from this supplier.
There are no restrictions to the number of products that you can setup, we have customers using NPoS that have 100 products, and customers that have in excess of a quarter of a million products.
You will have access to:
- purchasing the products from multiple suppliers at different prices or pack sizes
- setting up your selling prices based on margins or your own calculations or using the rounding table facility
- entering unlimited barcodes, including price marked barcodes
- setup your inventory levels for suggested purchase orders or store picking lists
- printing off barcode labels and / or shelf edge tickets
- viewing product specific reports
- finding out your current and historical margin analysis
- varying levels of stock information
Setup a new product within seconds, including the barcode, description, cost price, selling price, margin calculations vat rate etc.
If you raise purchase orders to your suppliers or you would like to start to do this, then NPoS allows this in a very simple but effective manner.
Simply input the products you wish to order onto the screen. When you select a product, the current pack size, costs and stock levels are displayed, and you simply select the quantity you want to order.
Also displayed is the purchase history, showing the cost of previous purchases so you can analyse sales trends or view the stock in a colour / size matrix format.
If you wish, NPoS will create a suggested purchase order based on the parameters you set. You can amend this order or print it out as it is, then either fax, e-mail or post it to the supplier. You can also compare prices of different suppliers
When a delivery arrives, access the original purchase order (if one was raised) via the goods-in screen. Here you can either accept the whole order, or if there are undelivered items you can either place them on back-order, or cancel altogether.
While performing a goods-in, you can print barcode labels, update prices and add new manufacturers’ barcodes to products. The selling price suggestion tab is disabled by default at the warehouse, but can be enabled by management.
Goods-in can be done by batch, manually or by RF or WiFi hand-held terminal. You can also perform a goods-in when purchase orders have not been raised.
NPoS caters for all different kinds of sales and promotions for your business. Set up dates on your system between which you have your products on sale and analyse the profitability of the sale. You can change the structure of your promotion in an instant if you wish, and use your receipts to advertise special promotions. Setup multiple type of promotions like buy one get one free, get the cheapest free, overall discounts etc.
Set up new customer accounts quickly and easily during the normal tilling process or from the back office, and allocate various price bands to account customers. All the data relating to account sales is recorded permanently and you can see what each account customer has bought at any time. Alternatively, you can simply check the amount of credit the customer has accumulated, if you have decided to put a credit system in place. If you prefer, the customer account facility can just be used for recording sales data with no credit.
You can also give individual loyalty or privilege cards to your customers. They are then able to earn points as they spend money with your business, and redeem them when they have collected a set number of points. Loyalty schemes are one of the best marketing tools used by the biggest retailers today.
Due to the graphical design of the point of sale screen, it is extremely simple to use. If an error is made, the action will either be disallowed, or the screen will suggest an alternate action making NPoS one of the most intuitive, easy to use EPoS solutions in the market place today.
Once all the products have been scanned or keyed in, the method of payment can be selected from the list down the right hand side of the screen, which includes cash, cheque, credit card and vouchers/account card. NPoS is Chip & PIN compliant with most major UK banks.
There are occasions when a product range is of such low value that it does not warrant a barcode. NPoS allows the creation of unlimited ‘hot keys’ with unlimited levels, under which you can have multiple products.
If a product is returned, you can either issue a credit note or a refund. A refund adjusts the sales and the stocks and also takes VAT into account. Just scan the barcode at the bottom of the receipt, and details of the whole sale will appear on the screen.
If a customer decides they want something else during the ringing up of their purchases, the sale can be put on hold and retrieved, on any till, when they return.
Void sale cancels the whole sale. It can be password protected. Void item allows a single item to be cancelled.
This allows the cashier to temporarily change the selling price of an item if, for example, it is damaged. Password protection is optional. All price override transactions are recorded and can be reported upon.
Staff discounts are set in the back office menu. You can limit the range of goods on which you offer discounts, as well as setting differing levels of discounts for different levels of staff. Also monitor who give staff discount to whom.
This feature requires a manager’s password. Account customers can have a standard discount rate set up with their account details. When they make a purchase, the correct rate is automatically applied.
Track the serial number of a product against a purchase order, for guarantee and maintenance purposes. You can track serial number trackable goods from the point of purchase to the point of sale. Additionally, if a customer returns a product, NPoS can check that it was purchased from your store. You can access the date of purchase, purchase price and receipt number, along with which supplier you bought it from.
With the hire function, you can check product availability, book products for hire, log the collection/return of hire products, and cancel orders.
The no sale feature requires the cashier to give a reason for withdrawal and a manager’s password. Cash withdrawn is noted in the daily cash summary of the till. You can also use this feature to perform shift/till uplifts.
An up-to-date customer statement can be produced for any account queries.
The shelf replenish report tells you what has been sold up to the point of running the report. You can use this as a guide to restocking your shelves. Since you are able to run this report for specific departments and sub groups, it makes the restocking of your stores and the staff very efficient. The over-stock function allows you to run a search on which items are over-stocked, based on your minimum and maximum product set-up.
NPoS boasts a very secure “blind cashing up” facility. This allows you to control your cash within the EPoS system. Giving you concise reports on under and overs, and covertly monitoring the member of staff activities.
NPoS has several time-saving features to help with manual stock takes. You can also use a Nisyst hand-held terminal with software to do the whole job much faster. The main stock-take menu is divided into the following sections:
You can prepare for a fresh stock-take in five different ways:
- All products
- Department only
- Specific product(s)
Enter counted figures
Input the counted information in the same five ways as you would prepare for a fresh stock-take. The input screen allows you to manually input data speedily or to connect up the hand-held terminal which can be RF or WiFi.
Exceptions / Variance report
This will show stock-take discrepancies prior to posting your counted stock as actual stock.
Stock adjustments can be made and categorised according to the reason they are carried out. This vital information can be analysed by management to find out why stock adjustments are taking place.
Inter-shop transfers (multi-sites only)
Allows head office or warehouse to distribute stock to all branches and transfer stock from one branch to another.
This is available by company, department, sub-group or supplier and will show stock levels and cost valuations for every product.
Providing a direct link between NPoS, your online store and mail order operation, the e-commerce module shows live updates of stock and pricing. From the point of orders taken, picking lists are produced automatically and customer details updated.
Customers can not only buy your products online, but also receive confirmation of their order via e-mail and then track it online. E-commerce also provides an ideal marketing opportunity for your company, as you can display multiple images of each product and exhibit your top selling items. Your customers can review your products, or recommend them to their friends with our tell-a-friend facility.
PoSDVR is the world’s first integrated EPoS and Digital Video Recording (DVR) system, comprised of NPoS software and Visimetrics’ OCTAR application. Enabling the capture and storage of – as well as instant access to – digitally recorded CCTV images through your till, also provides higher image quality than VCR.
Searching for specific footage is fast and simple, as you can search for data by time of transaction. Export images to CD or DVD if needed for evidential purposes, and view footage from any PC linked up to the network. PoSDVR is capable of recording images from multiple CCTV cameras, and is fully functional 24/7, regardless of whether the EPoS system is in use.
If you already have a CCTV installed, speak to us about linking this into your NPoS solution.
Are your store supervisors spending too much time in the backoffice counting the cash instead of supervising on the shop floor?
Designed to save time and improve accuracy when cashing up, the Tellermate TD is a simple, fast and effective cash counting machine for both coins and notes. Typically, the Tellermate TD reduces cash counting time from 10.5 minutes to 58 seconds. It can be linked to NPoS, allowing you to simply put money onto the cash counter and the count is automatically transferred into NPoS, from where you can evaluate the day’s revenue. The TD can also be used as a stand-alone system independent of NPoS.
Reports and analysis are actioned from the reports option on the main menu. There is a vast range of reports available, broken down into the following categories: products, sales, purchases, VAT analysis, stocks, hire, and account customers.
These options have further menu structures to easily navigate the user through a multitude of reports. Reports criteria selections have been designed to require minimum user input. Most require simple mouse clicks on the relevant options. Once you have made your selection on this screen, you will be asked to enter the dates for your report.
The NPoS Dashboard display presents accurate sales and margin information as graphs and charts, at the click of a button, in a format which is quickly and easily understood. This innovative presentation format – a first in EPoS systems – allows management to make rapid and informed decisions without having to wait for reports and then work through hundreds of figures.
NPoS gives you “Power at your fingertips!”
